A good barista shift handoff is short, specific, and focused on what changes the next shift’s plan. It should show what is unfinished, what is running low, what equipment needs attention, and who owns the follow-up—not repeat every task the outgoing team completed.
What every cafe handoff should cover

Use a simple handoff sequence
- Have the outgoing shift update incomplete tasks before the incoming lead takes over.
- Review urgent equipment, safety, food, cash, and customer issues first.
- Check priority stock and note whether an order or substitution is already planned.
- Assign every follow-up to a person or role with a realistic due time.
- Ask the incoming lead to confirm the priorities before responsibility transfers.
Keep routine completion separate from exceptions
The opening, cleaning, and closing checklists already show routine completion. The handoff should highlight what did not go according to plan. This keeps the transfer short enough to use during a real shift change while preserving the details a manager needs.
Example handoff notes
- Oat milk: two cartons left; delivery expected tomorrow morning; opening lead to confirm delivery.
- Left grinder: dose button intermittently sticks; use right grinder; manager follow-up assigned for 9 a.m.
- Lobby floor: spill cleaned, but wet-floor sign remains near the entrance until fully dry.
- Mobile order refund: customer contacted; closing manager needs to confirm the transaction before leaving.
